Frequently asked questions
The field app and working offline
Does the field app work without signal?
Yes. Each phone keeps the person's shifts from the past week and the next two weeks, with site details and the approved TMP and TGS PDFs for today and tomorrow.
Shift starts and finishes, time, photos, forms, vehicle pre-checks and document sign-offs are saved on the phone first. They're sent when the phone is back in coverage, oldest first and each exactly once.
Do crews need to install an app?
No. The field app runs in the phone or tablet browser. Crews can add it to their home screen, where it opens like an app.
What if the office changes a shift while a crew is offline?
The office's change wins. When the phone syncs, anything it can't apply is shown on the phone with the reason.
Your data and security
Where is our data held?
In ProTTM's PostgreSQL database. Each company's records are separated by row-level security in the database itself, not only on screen.
Files such as plans, photos and email attachments only open after a check that the person can see the record they belong to. Ask us for the hosting provider and region.
Can we get our data out?
Yes. Reports download as CSV or Excel. Lists such as the competency matrix and audit log export to CSV. The read-only API returns your tasks, TMPs, bookings, timesheets and invoices.
How are sign-ins protected?
Passwords must be at least 10 characters and are stored only as Argon2 hashes. Two-factor sign-in uses an authenticator app with backup codes, and you can require it for everyone or for chosen roles.
Repeated sign-in and code attempts are rate-limited. Resetting a password signs the account out everywhere.
Is there an audit trail?
Yes. The database records every change: who made it, when, and the values before and after. The app can't alter that history. Administrators can view the audit log and export it to CSV.
Moving from your current system
Can we bring our data across?
Yes. Export your clients, locations, contacts, people, vehicles, plant and tickets from your current system as CSV files, or paste them into ProTTM's template for each list. Columns are matched by name, including headings other systems commonly use.
Each file is checked row by row first, showing what will be added, updated or skipped. Nothing is saved until you choose to import.
Does the import bring our people across?
A people file creates invitations, not accounts. Nothing is emailed until you choose to send them. Import their tickets from a second file afterwards.
What about past jobs, timesheets and invoices?
They aren't imported. Keep your current system's records for reference and start new work in ProTTM from a date you choose. Clients, locations, people and fleet come across, so new work has what it needs.
Xero, invoicing and payroll
Does it work with my accounting software?
Xero today, with more accounting integrations planned. Connect your Xero organisation in Admin. Clients become Xero contacts. Approved invoices and credit notes go to Xero as drafts or approved, your choice. Payments sync back every hour, or immediately with Xero's webhook.
Each work type maps to a Xero account and item code. Tax rates such as GST, zero-rated and exempt map to Xero's tax types.
Does ProTTM email invoices and quotes to our clients?
No. Download the PDF and send it yourself, then mark it as sent. Or switch on Xero's invoice email so Xero sends approved invoices.
ProTTM only sends account emails: invitations, password resets, email confirmations and sign-in links.
Does it do payroll?
It prepares it. Approved timesheets export as a CSV for Xero Payroll, or a general CSV for other payroll systems. ProTTM doesn't calculate PAYE or pay staff.
TMPs, RCAs and standards
Does it submit our TMPs to MyWorksites or Submitica?
No. You submit in the RCA's portal as you do now. ProTTM records each version, the portal's reference (such as the MyWorksites T-number or Submitica CAR number) and the RCA's outcome, so the history stays on the job.
Which RCAs are set up?
New companies start with a list of RCAs, with the reference field each one uses, such as the MyWorksites reference or the Submitica CAR number.
You can edit the list, add other RCAs, and set the reference fields each one uses.
Does it handle a move between TMP standards, such as CoPTTM to NZGTTM?
Yes, and both can run side by side. CoPTTM and NZGTTM are separate TMP types, so the TMP Dashboard shows which standard each plan uses. Each has its own design work type and chargeout rate.
There's a starter NZGTTM awareness competency to record who has been briefed, and a Risk Control Plan starter form with hazards and controls from your risk templates. You can rename or extend all of these.
Permissions and who sees what
Can we control who sees what?
Yes. Each person has one or more roles. Each permission covers their own work, their team, a business unit or the whole company. Menus and buttons show only what a role allows, and the server checks every action.
Starter roles are Org Admin, BU Manager, Scheduler / Dispatcher, TMP Designer, Office / Admin, Accounts / Payroll, Supervisor, Field Worker and Subcontractor. Copy and edit them as needed.
What do subcontractors see?
Only their assigned jobs and shifts, their own timesheets and their forms, in the same field app as your crews. Their tickets are checked like everyone else's.
Can we hide costs and margins from some staff?
Yes. Cost and margin figures need the "view costs" permission. Reports and task pages hide them from anyone without it.
Pricing, trials and support
How much does ProTTM cost?
$14.99 per user per month (NZD, plus GST where it applies), with every module included. No platform fee, setup fee or add-ons. You're billed each month for the people who signed in to or used ProTTM that month, so casual crew who didn't work aren't charged. Month to month, no lock-in.
Is there a free trial?
Yes. 30 days on your own company account, with no card needed. If you continue, your settings and data carry on. If you don't, your company is closed and you can take your reports and lists with you.
What's set up when we start?
Task types and statuses, starter RCAs and their reference fields, TMP types, crew roles, work types, competencies, risk templates and 16 starter forms. You can change all of them.
How do we get help?
In the app, the ? button opens help topics. Press "Send this to a person" and your question, with the page you were on, goes to ProTTM support. The reply comes back in the help panel and on your bell.
